When you check availability
Your arrival and departure dates and cart preference are sent to the booking service to retrieve availability and rental quotes. You do not need to provide a name, phone number or email to search.
When you request a cart
The request sends the selected cart, dates, name and phone number, plus an email address and delivery address if you provide them. Beach Zoomies uses these details to handle the rental request and contact you about confirmation.
Beach Zoomies may keep contact details, rental history, internal customer-service notes, tags, status and follow-up tasks in its private management portal to administer rentals and assist returning customers. Portal access requires an approved staff email and a one-time email code. Staff sessions last up to eight hours. Follow-up tasks do not automatically send messages.
Submitting this form does not collect payment-card details.
Promotion and giveaway records
If you use a promotion, we keep the code, original rental price, discount and final price with your reservation. For an eligible grand opening booking, we also record its giveaway-entry status after payment. Authorized staff use these records to administer the promotion and check eligibility. Entering the promotion does not subscribe you to marketing texts.
Optional rental text messages
If you choose the optional texting checkbox, Beach Zoomies can send rental updates to the mobile number you provide, including delivery photos, access instructions and return confirmations. Consent is not required to rent. Message frequency varies; message and data rates may apply. Reply STOP to stop messages or HELP for help. You can also call Beach Zoomies at 941-479-1089, every day from 8am to 6pm Eastern.
We record your mobile number, consent choice, the wording shown and the time of your choice. We also retain delivery photos and message status with your rental record. Twilio and mobile carriers process your mobile number, message content and delivery photo to deliver these messages. Photo uploads are resized and their embedded metadata is removed.
Mobile information and text-message consent are not sold or shared with third parties or affiliates for marketing or promotional purposes. Service providers process this information only to support the rental and deliver the messages. Text delivery is not guaranteed; contact Beach Zoomies directly for urgent help. Opting out of texts does not cancel your reservation.
Driver documents, signatures and review
Each invited driver submits their name, date of birth, license and insurance expiration dates, copies of their license and insurance, and their own electronic signature. We also save their acknowledgments, the signing time, the exact rental agreement and reservation details accepted, and document fingerprints used to identify the submitted files.
Beach Zoomies uses this information to review eligibility, document the rental agreement and determine whether a person is authorized to drive. Uploads are not automatically approved. The reviewer checks the driver’s documents, signature and original license before approval.
Records are stored in the private booking database operated for Beach Zoomies on a dedicated Hetzner server in Virginia, USA. Cloudflare provides the website and secure request routing. They are not placed in public website assets or sent to the booking assistant. The authorized reservation-board reviewer can access the records, request corrections, download documents for rental administration.
A personal driver link provides access to that driver’s own submission and signed agreement. Keep it private. Links expire seven days after scheduled pickup or when the rental review is closed or the link is replaced. Link expiry does not automatically delete the rental records.
A correction creates a new signed submission; prior submissions and review decisions remain in the record. Drivers can download their signed agreement from their personal link while it is active. To request a correction, a later copy or deletion, email larry@beachzoomies.com or call 941-479-1089. Beach Zoomies reviews requests against rental administration, insurance claims and applicable recordkeeping obligations. Deletion is not automatic when a rental ends.
The public website does not display personal driver records. Those records require a separate private driver link or authorized staff access.
When you use the booking assistant
Your messages and the conversation history needed to answer them are sent to the existing booking service. Avoid including payment-card information or unnecessary sensitive details.
Where booking information goes
This website forwards availability, reservation and chat requests to the Beach Zoomies booking service at manage.beachzoomies.com, hosted on Hetzner. That service processes the request and returns the result.
The site does not add Google Analytics, advertising or remarketing tags. Cloudflare processes technical and security information to serve the site. Payments are handled by Stripe after a reservation is confirmed; card details go directly to Stripe. The site adds no advertising or analytics cookies.
Privacy questions and record retention
Beach Zoomies LLC is responsible for the rental information described in this notice. Contact larry@beachzoomies.com or call 941-479-1089 for privacy questions or to request access, correction or deletion. We may need to verify your identity before releasing or changing personal records.
Rental records, signed agreements, uploaded driver documents and review history remain in the booking system and its backups until reviewed for removal. The system does not automatically delete these records when a rental ends or a private link expires. Beach Zoomies reviews retention and deletion requests in light of ongoing rentals, disputes, insurance and applicable recordkeeping obligations.
